Menu path: My profile (at the bottom of the navigation menu)

In short: On My profile you set everything that applies only to you: your profile picture, the language of aishaa, the send delay for email, how the summary on a ticket opens, the order and visibility of the tabs next to a ticket, push notifications, emails about assigned actions and your signature. With the Extra signatures feature you also manage alternative signatures here. Whether aishaa is light or dark is something you choose with the button in the top bar; that is covered in this article too.

Where to find this

Click My profile (the button with your avatar) at the bottom of the navigation menu. On your phone you will find My profile in the More menu.

Who: everyone from the Viewer role upwards. Everything on this page applies only to you. The signature and extra signatures apply per organisation; with multiple organisations you choose in the Organisation drop-down list at the top which organisation you are setting them up for.

The My profile page with the profile picture, the language choice, the read-only Username and Email fields, and the Send delay and Ticket summary drop-down lists.

Profile picture

Under Profile picture it says “Click the avatar to upload or replace your profile picture.” Click the avatar and choose an image. Use the bin icon (Remove profile picture) to remove the picture again; you will then see your initial. Your picture appears in places such as My profile at the bottom of the navigation menu.

Language

Under Language you choose the language of the aishaa interface: English, Dutch, French, German, Spanish, Turkish or Persian. After you choose, aishaa reloads in the chosen language. The choice is remembered in your browser and saved with your account. The default language of a new account is English. See also Language and time zone.

Dark mode

Besides your language, you can choose whether aishaa is light or dark. That button is not on My profile but always within reach:

  • On a computer, on the right of the aishaa top bar: a sun if you are working dark, a moon if you are working light. One click switches.
  • On your phone, in the navigation menu under More, with the option Use dark mode or Use light mode.

The choice applies to you personally, per account and per device or browser. If you work dark on your laptop and light on a shared computer, those two stay separate. You do not have to save anything: the choice applies immediately and comes back after a reload.

The whole app follows your choice: the text editors, the fields in which you compose email, WhatsApp and voice messages, aishaa’s notices, the customer list and the customer detail, the WhatsApp template buttons, the dashboard message, the order of the tabs next to a ticket, the view previews, the badges on your phone, the navigation and all settings pages. The aishaa logo in the top bar has its own dark variant.

Username and email

Username and Email are read-only. If you want to change them, ask your Account admin.

Send delay

Under Send delay you choose how long aishaa waits before actually sending an email after you have clicked send, so that you can still cancel a mistake.

Option Meaning
No delay The email is sent immediately.
5 seconds, 10 seconds, 30 seconds, 60 seconds After sending, aishaa shows the Sent pop-up with a countdown bar and the buttons Undo and View ticket. Within the chosen time you can still stop the email from being sent. Meanwhile you can simply carry on working.

The send delay only applies to email. See Sending, undoing and what happens during an outage.

Ticket summary

Under Ticket summary you decide how the Summary block at the top of a ticket opens.

Option Meaning
Show collapsed (default) The summary is collapsed; you expand it when you need it.
Show expanded The summary is fully open straight away.
Hide The summary is not shown.

Ticket view: order of tabs

Under Ticket view (“Choose the order of the tabs on the ticket details page.”) you decide which tabs appear next to a ticket and in which order.

  • Drag a tab to another position, or use the up and down arrows.
  • Use the switch to turn a tab on or off. You cannot hide Customer tickets and Media. You also cannot switch on tabs that are not available for your account.
  • With Default order you reset your personal layout to the default.

The default order is: first the tabs of the organisation’s connected plugins, then Activity, Case, Notes, Media, Customer tickets, Resources, Timeline and Actions, possibly followed by tabs from the view library and tabs of workflows for which Show as ticket tab is turned on. The Account admin sets the account layout in Account settings; see Account settings. You can read what each tab contains in Customer context next to the ticket.

The Ticket view section on My profile with the draggable list of tabs, a visibility switch and arrows for each tab, and the Default order button.

Push notifications

Under Push notifications it says: “Your notification preferences apply across your account, but browser/device subscriptions are managed per device.” So there are two layers: a preference for your account and a subscription per device or browser.

Setting Meaning
Enable notifications on this device/browser Subscribes the device or browser you are working on now. The browser asks for permission to show notifications. Below it you see Active device/browser subscriptions for this account with the number.
Allow push notifications for my account The main switch. If it is off, you do not get push notifications anywhere, not even on subscribed devices.
Notify me for unassigned tickets in my accessible organisations You also get a notification for new messages on tickets that are not assigned to anyone, in all organisations you have access to. Only available if the main switch is on.
Notify me when snoozed tickets become active again You get a push notification when a snoozed ticket comes back. Only available if the main switch is on.

Messages you may see here:

  • On iPhone or iPad: On iPhone/iPad, install aishaa to your Home Screen before enabling push notifications. The device switch stays off until aishaa has been installed as an app. See aishaa on your phone and as an app.
  • Push notifications are not supported on this device/browser.
  • Browser notification permission is blocked. Please allow notifications in your browser settings.
  • An information message if the device is subscribed but the main switch is off, or the other way round.

When a new customer message arrives, the assigned colleague gets the push notification. If the ticket is not assigned to anyone, all colleagues with access to that organisation who have also switched on the option for unassigned tickets get a notification. More about all types of notifications: Notifications.

Emails about assigned actions

Under Action assignment emails you will find the switch Email me when actions are assigned to me: “Receive one concise email when colleagues assign actions to you. Assignments made close together are bundled.” This is relevant if the Ticket actions feature is switched on. See Follow-up actions (Ticket actions).

Signature

Under Signature you set up the signature that aishaa puts below your emails. The editor supports formatting and images in the text (no other attachments). Click Save.

If your account uses signatures per organisation, the section is called Signature for selected organisation. In that case, first choose the organisation in the Organisation drop-down list at the top of the page and save a signature for each organisation. You can read how aishaa uses your signature in emails in Signatures.

The Signature section with the editor and below it Extra signatures with the Current signature row, an extra signature with the Default chip and the Add signature button.

Extra signatures

This feature is available if the Extra signatures feature has been activated for your account.

Under Extra signatures (“Add alternatives and choose which signature is used by default.”) you manage alternative signatures, for example a formal and an informal version, or a signature per department.

  1. Click Add signature. The Add extra signature dialogue opens.
  2. Enter a Name (required, maximum 80 characters) and create the signature in the editor.
  3. Click Save.

The list always starts with Current signature (“The signature configured above.”). Below it are your extra signatures, each with:

Button Meaning
Set as default Makes this signature the default; the default gets the Default chip. As long as no extra signature is the default, the current signature is the default.
Edit Opens the Edit extra signature dialogue.
Delete Asks for confirmation: “Delete the signature “(name)”? If it is the default, the current signature will become the default again.”

When writing an email, you choose between Current signature and your extra signatures in the signature menu of the editor. If you make no choice, aishaa uses the signature marked as default.

Good to know

  • You can save a maximum of 10 extra signatures per organisation.
  • Extra signatures belong to the organisation chosen at the top. With multiple organisations you manage them per organisation.
  • You do not change your password on this page. You do that via the aishaa sign-in screen. See Signing in and password.
  • aishaa has no two-step verification and no out-of-office assistant in the profile.
  • Every preference is saved immediately as soon as you change it; only the signature and extra signatures are saved with Save.
