Menu path: Organisation > Intelligence > Changes

In short: The Changes page is the log of your organisation’s AI configuration. Every change to organisation information, AI agents, skills, workflows, writing styles, knowledge documents, instructions per topic, what aishaa knows per topic and the permissions to send by itself is recorded there, whether it was made by a colleague, by aishaa or by the system. For each change you see the difference per field and, where possible, you can restore the old value.

Where to find this

Go to Organisation > Intelligence > Changes. The page has the description Everything that changed on your aishaa (by your team and by AI). At the top are the Tell aishaa input box and, if anything is open, the Waiting for your approval block. Below that is the feed of changes.

Who: from the Organisation admin role. The feed shows the changes of the selected organisation; in an account with several organisations you can filter by organisation.

The changes feed on the Changes page with the Type and Kind filters, the grouping per day and a few rows with the Updated, AI and Entire account chips, menu Organisation > Intelligence > Changes.

The badge in the menu

The Changes menu item shows a badge with the number of open proposals and questions from aishaa, added up across all organisations you have access to. See Tell aishaa for approving and rejecting proposals.

Filtering

Above the feed are two drop-down lists, both of which you can clear.

Type filter

Option What you see
AI agent Changes to AI agents (name, instructions, knowledge, memory, skills, tools and conditions, restoring an earlier version).
Organisation profile Changes to the organisation information (brief, locations, availability, contact options, website URL).
Writing style Changes to writing style profiles.
Knowledge document Added, changed, deleted and restored knowledge documents.
Topic instruction Instructions per topic that were recorded or withdrawn.
WhatsApp template Changes to WhatsApp templates.
View Published ticket views and action cards from the view library.
Learned by aishaa Facts that aishaa learned per topic from what colleagues changed in its proposals. See What aishaa knows.

Without a filter on type you see everything, including changes for which there is no filter, such as workflows, custom skills, notices, colleagues’ changes to facts (Team fact), the permissions to send by itself and the Emergency stop. See Trust and letting an agent send by itself.

Kind filter

Option What you see
AI Changes aishaa applied itself, for example after an approved proposal or via the weekly website check.
Human Changes by a colleague.
System Changes by automatic processing, such as a permission to send by itself that lapses because the agent was changed.

In an account with several organisations there is also Filter by organisation.

Reading the feed

Changes are grouped per day, newest first. The feed loads 25 changes at a time; Load more fetches the next ones. For each row you see:

  • the type and name of the changed component (for example the name of the AI agent or knowledge document);
  • a chip with the operation: Created, Updated, Deleted, Restored, Reverted, Released to AI, Locked or Unlocked;
  • the AI chip if aishaa made the change;
  • the Entire account chip if the change applies to all organisations in the account (for example an account-wide knowledge document);
  • a short summary or the reason given;
  • the time and who made the change (the colleague’s name, AI or System).

If nothing has been recorded yet, it says No changes recorded yet.

Viewing details and the difference

Click a row or Details to open the dialog with the change. For each changed field there are the Before and After columns. Long values are cut off and marked with (shortened). If the change comes from the website check, Sources lists the pages aishaa based it on.

The dialog with details of one change: per field the Before and After columns, the Sources block and the Restore previous value button, menu Organisation > Intelligence > Changes.

Reverting a change

You can revert changes to knowledge documents, AI agents, writing style profiles, instructions per topic, organisation information fields, WhatsApp templates, the custom wiring of a plugin, the domain profile and the publication of a view. You cannot revert locking, unlocking and releasing to AI.

  1. Open the details of the change.
  2. Click Restore previous value.
  3. Confirm in the Revert this change? block. The explanation says that the change below will be applied to bring back the old values and that this is recorded as a new change.

After reverting you see Change reverted. and a new row appears in the feed with the Reverted chip. Reverting is therefore itself a change that you can view and, if necessary, revert again.

Two special messages:

Message Meaning
Nothing to revert: the current values already match. The old value is already the current value, for example because someone had already restored it manually.
This change cannot be reverted. There is no way to revert this type of change, for example for what aishaa learned, for workflows or for a permission to send by itself.

You can also ask aishaa to revert: in Tell aishaa, type for example “Revert this morning’s change to the writing style”.

Good to know

  • The feed only shows configuration changes. What happened to a ticket or a customer is in the audit trail of that ticket or customer.
  • Proposals still waiting for approval are not in the feed; they are above it under Waiting for your approval. The change only appears in the feed after approval.
  • You see an account-wide change (Entire account chip) in every organisation of the account.
  • The Organisation information page also has its own history per field, with the same option to revert. The Agents page has a Version history with automatic snapshots for each AI agent.
  • A workflow has its own Versions tab in the workflow editor. See Create, test and publish a workflow.
