Menu path: Organisation > View library

In short: The view library is where all views of your organisation are collected: ticket views (an extra tab next to the ticket with data from a connected system) and action cards (how a plugin action is displayed). Here you switch a view on or off, change its name and description, archive views, restore earlier versions and lock a view. You do not design or edit views here, but together with Claude through the aishaa MCP connection.

Where to find this

Go to Organisation > View library. The subtitle of the page reads: Choose one shared view for your organisation. Only views that match your connected plugins are shown by default.

Who: from the Organisation admin role upwards. You switch a view on per organisation. In an account with multiple organisations, an Account admin can switch a view on for the whole account.

The Organisation > View library page with the Show archived views switch, the filters Type, Created by, Plugin and Capability, and a grid of view cards with preview image, version and status chips.

Designing happens through Claude

The view library has no button to create or edit a view. You design ticket views and action cards together with Claude through the aishaa MCP connection; a saved view or card then appears in this library by itself. On the detail page of a view, where you might expect an edit button, you see the chip Edited through MCP: ask Claude for a new version there.

See Have Claude build a ticket view, Have Claude build an action card and Connect aishaa to Claude or ChatGPT (MCP).

The two types of views

Type What it is Where it appears
Ticket view A tab next to the ticket that shows data from a connected system, for example a file, a schedule or an order history. You can switch on several ticket views as tabs at the same time. As a tab on the ticket, with the name of the view as the tab title.
Action card How a plugin action is displayed: what the action does, with which data and what status it is in. One card can serve several actions. Everywhere those actions appear: on the Activity tab of the ticket and in To do.

Filtering

At the top there is a switch and four filters:

Filter Options
Show archived views Switch. On: you only see the archived views. Off (default): you only see the views that are not archived.
Type All, Ticket view or Action card.
Created by All views, aishaa views (the views that aishaa supplies) or My AI views (the views created on your own account).
Plugin All plugins or one plugin. Shows the views that work with that plugin.
Capability All capabilities or one action. Shows the views that contain that action. This filter only appears if there are views with actions.

If the combination returns nothing, you see: No compatible view is available yet. Orders remain available without a custom detail view.

The view card

Each view appears as a card with:

  • the preview image, or an empty space if there is none yet;
  • the title and the version number (v1, v2 and so on);
  • the status chip (see below);
  • the description;
  • a chip with the type (Ticket view or Action card), a chip that shows whether the view was supplied by aishaa or created on your own account, and for a view with actions the names of those actions;
  • Works with: followed by the plugins the view needs.
Chip Meaning
Active This view is switched on as a ticket tab, or has been chosen for its action.
Active · automatic Only for action cards. No card has been chosen; aishaa uses this card automatically. A card from your own account takes precedence over a supplied card, and the most recent publication takes precedence.
Active for the whole account The view has been switched on for all organisations of the account. Only in an account with multiple organisations.
Draft The view has not been published yet and does nothing yet.
Unpublished changes A published version is active, and there is also a draft with changes ready.
Archived The view has been archived and can no longer be switched on. Only visible with Show archived views.

Click Open to go to the detail page of the view.

The menu per view

Click the three-dot menu (More actions) on a card. Which options you see depends on the type, the status and your role.

Option Meaning
Change name and description Opens the Name and description dialog (see below). Only for views of your own account; for a published view only for an Account admin.
Show as ticket tab (ticket view) Switches this view on as a tab on the organisation’s tickets.
Use as ticket tab for the whole account (ticket view) Switches the tab on in all organisations of the account. Only for an Account admin in an account with multiple organisations.
Deactivate / Deactivate for the whole account (ticket view) Removes the tab again. A tab that is switched on for the whole account can only be switched off by an Account admin.
Use for this action (action card) Chooses this card for the action it was made for.
Use for this action in the whole account (action card) Chooses the card for all organisations of the account. Only for an Account admin in an account with multiple organisations.
Automatic fallback (action card) Releases the choice, so that aishaa chooses a card automatically again. Notification: This action follows the automatic choice again.
Delete draft Permanently deletes a stand-alone draft. You confirm first: Delete draft “(name)”? This cannot be undone.
Archive view Moves the view to the archive (see below). Only for published views of your own account.
Restore from archive Brings an archived view back into the library.

Changing the name, description and preview image

Choose Change name and description. The Name and description dialog has the explanation Change the name, description and optional preview image. The design and active version remain unchanged.

  1. Change the Name (at most 160 characters) and the Description (at most 1000 characters).
  2. Under Preview image, click Upload image or Replace image to choose your own image, or Remove image to remove the current one. After choosing, it says Selected: with the file name; after removing, it says The current preview image will be removed when you save.
  3. Click Save. Notification: The view details have been saved.

Requirements for the image: PNG, JPEG or WebP, up to 5 MB. A 16:10 image works best. Images are safely normalized before storage. A larger file gives the notification The preview image cannot exceed 5 MB. Note the warning in the dialog: Do not upload screenshots containing real customer data or other confidential information.

Switching on for the whole account

In an account with multiple organisations, an Account admin can switch a view on for all organisations at once: Use as ticket tab for the whole account, Activate for the whole account or Use for this action in the whole account. The view then gets the chip Active for the whole account.

A published view of your own account is read-only for an Organisation admin: the detail page then shows the chip Account-wide, and only an Account admin can change, archive or replace it.

Archiving and restoring

Choose Archive view. You confirm first: Archive “(name)”? The view will disappear from the library. Organisations using it will automatically switch to their configured fallback. After confirming, you see The view has been archived.

An archived view is no longer active and cannot be switched on. Switch on Show archived views to see it, with the chip Archived. Choose Restore from archive to bring it back. Notification: The view has been restored from the archive. Activate it when you want to use it again. So after restoring, the view is not automatically active again.

Archiving and restoring only work with views of your own account. You cannot archive views supplied by aishaa; switch on a different view instead.

The detail page

Click Open on a view card. At the top you find the title with status chips, the description, and the lines Version, Created by and Works with. Click Back to the view library to go back.

Buttons and menu options on the detail page:

  • Use this view: switches this version on. Only if the view is not active yet and the required plugins are connected.
  • Activate for the whole account: only for an Account admin in an account with multiple organisations.
  • Restore this version: for an earlier version from the version history.
  • Restore from archive: for an archived view.
  • Change name and description and Archive view, in the menu at the top right.
  • The chip Edited through MCP: you ask Claude for a new version.

Under Explore this view there is a working preview with sample data. With the buttons for Desktop, Tablet and Mobile you view the view at different screen widths. For an action card, there are chips above it to view the card per status: New action, Pending, Executed, Failed and Rejected. If the view has no preview, you see the preview image or the notification No live example is available yet.

Viewing and restoring earlier versions

Every publication is a new version; earlier versions are kept. If a view has more than one version, the detail page shows the Version history section with the explanation Explore earlier versions of this view or use one as the basis for a new version. Each version is listed with its version number and publication date. The newest version has the badge Current version; the version currently in use has the badge Active.

  1. Click an earlier version to open the page of that version, including the preview.
  2. Click Restore this version.

aishaa then creates a new version with the content of the old one and switches it on. Notification: A new active version has been created with the contents of this version. The versions in between remain in the history. Restore this version is available to an Account admin.

The detail page of a view with Version, Created by and Works with, the Lock button, the Edited through MCP chip, the Version history section with the badges Current version and Active, and the preview with Desktop, Tablet and Mobile.

Locking a view

Once a view has been checked and is right, you can lock it with the Lock button on the detail page. After that, nobody can change the view any more, not even aishaa or the assistant. Only an Account admin can Unlock it again, and only in aishaa itself, not through the Claude connection. See Lock configuration.

Good to know

  • You never change a published view; every adjustment becomes a new version and the old one stays in the version history.
  • A view only works if the plugins under Works with are connected in the organisation. If a plugin is missing, you cannot switch the view on.
  • A ticket view only shows data that aishaa has fetched for the ticket. If Customer records of the integration is set to Off, the view stays empty. See Plugin settings: customer data, catalogues and actions.
  • You can switch on several ticket views as tabs at the same time. There is at most one active action card per action.
  • If the library cannot load, you see The view library could not be loaded. Try again; if it persists, contact the aishaa team via the aishaa support chat in aishaa (menu Chat, conversation aishaa support) or via support@aishaa.nl.
