Documentation / AI configuration
Lock configuration
In short: Once a piece of configuration has been checked and is right, you can lock it. After that nobody can change it any more, not even aishaa and the assistant. Only an Account admin can unlock it again, and only in aishaa itself.
Where to find this
The lock is on the page where you edit the item, above the fields. You find it at:
- Account > Agents: per AI agent.
- Organisation > Intelligence > Writing styles: per channel, separately for the account profile and the organisation profile.
- Organisation > Intelligence > Organisation information: for the whole page of that organisation.
- Organisation > Intelligence > AI knowledge base: per knowledge document, on the detail page.
- Account > WhatsApp templates: per template, on its row in the overview.
- Organisation > View library: per view, so also per ticket view and per action card.
- Account > Skills: per custom skill.
- Account > Workflows: per workflow, in the workflow editor.
- Organisation > Plugins: on the page where you decide yourself what a plugin offers (custom wiring).
Who: anyone who may manage the item can lock it. For the writing style profile of an organisation, organisation information, workflows, views and the custom wiring of a plugin that is from the Organisation admin role, for knowledge documents from Team lead, and for AI agents, skills, WhatsApp templates and everything that applies to the whole account from Account admin. Only an Account admin can unlock.

What locking means
As long as the lock is on, everything that changes the item is disabled: saving, deleting, restoring, undoing a change and restoring an earlier version. That applies to everyone with management rights, and also to aishaa and the assistant. The explanation in the app puts it like this: Nobody can change this, aishaa and the assistant included, until it is unlocked.
Locking is intended for configuration whose text must stay exactly as it is: an agent that writes well after a lot of testing, a writing style agreed with management, a knowledge document with legal text, an approved WhatsApp template, a workflow that does exactly what it should.
Locking does not change the content. The item stays in use; aishaa uses a locked agent, writing style or knowledge document exactly as before.
Locking
- Open the item you want to lock.
- Click Lock. The tooltip on the button explains what happens: Lock this once it is checked and right: after that nobody can change it, aishaa and the assistant included, until an account administrator unlocks it.
- You see the notice Locked, and in place of the button the bar appears with Locked by (name) on (date).
If you do not see a Lock button, you do not manage this item. Ask a colleague who does manage it to lock it.
What you see when something is locked
| What you see | Meaning |
|---|---|
| Locked by (name) on (date) | Who put the lock on and when. |
| Nobody can change this, aishaa and the assistant included, until it is unlocked. | The explanation below the name. |
| Only an account administrator can unlock it. | This sentence is shown if you are not allowed to unlock yourself. |
| Unlock | The button that only an Account admin sees. |
| Locked | The chip on a locked WhatsApp template in the overview. |
The fields and buttons of the item are then disabled, so you can see straight away that editing is not possible.
Unlocking
Only an Account admin can remove a lock, and only in aishaa itself.
- Open the locked item.
- Click Unlock.
- Confirm the question Unlock? with the explanation After unlocking, everyone who may manage it can change it again, aishaa and the assistant included.
- You see the notice Unlocked and the item can be edited again.
A proposal from aishaa that affects something locked
If you ask aishaa to change something that is locked, it still makes a proposal. That proposal just cannot be approved as long as the lock is on.
- The proposal card shows what is in the way: (item) is locked by (name) and This proposal cannot be approved yet: (item). Unlock that first, then approve. The approve button is disabled.
- If someone tries to apply it anyway, nothing happens and you see Not applied: part of it is locked. The proposal stays open.
- The proposal does not disappear. It keeps waiting until an Account admin unlocks; after that you can still approve it.
Good to know
- A lock applies per item, not per page. For writing styles you lock the account profile and the organisation profile of a channel separately; for agents, skills, workflows, knowledge documents, views and WhatsApp templates the lock applies per item.
- For organisation information the lock applies to the whole page of that organisation. aishaa’s weekly website check can then no longer update the fields either.
- A locked WhatsApp template cannot be edited, deleted or restored. See WhatsApp templates.
- Locking and unlocking appear as Locked and Unlocked in the Changes overview, so you can trace who did what and when. See Changes and reverting.
- If the Account admin who can unlock is not available, there is no other route: there is no way to bypass a lock.
