Menu path: Analytics

In short: aishaa has no export of reports to CSV, Excel or PDF, and no scheduled report email. If you want to share figures with a colleague or manager, you take a screenshot, copy the figures from the cards, or request statistics via aishaa’s connection with Claude or ChatGPT.

Where to find this

The reports are under Analytics in the menu: Response times, No reply needed, Topics and Volume. The Dashboard is at the top of the menu.

Who: the reports under Analytics are available from the Team lead role. The connection with Claude or ChatGPT works for every user, with that user’s permissions.

What is not available

  • No button to download a report or chart as CSV, Excel, PDF or image.
  • No option to have a report sent by email, either once or periodically.
  • No shareable link to a report for people without an aishaa account.
  • No public API or webhook to send figures to another system. See API, webhooks and Zapier: what is and is not available.

Option 1: taking a screenshot

  1. Open the report and set the filters (period, organisation, channel). Click Refresh or Apply.
  2. Wait until all cards and charts have loaded. While a card is still loading, it shows a grey bar instead of a number.
  3. Take a screenshot with your operating system (for example Shift+Cmd+4 on a Mac or Windows+Shift+S on Windows).
  4. Include the period and the filters when you share the image; they are not always on screen.

Charts with many time periods show at most 24 labels on the axis. Choose a coarser grouping (Weekly or Monthly) if the axis is unreadable.

Option 2: copying the figures

The cards at the top of each report show the key figures as text. You can retype them or select and copy them into an email or spreadsheet. You can select and copy tables such as Slowest tickets (first response) and Top topics with the mouse; most spreadsheet programs paste them as columns. Top topics also contains the subtopics and the Other topics and No topic rows.

When copying, pay attention to the definitions, see Response times, Report: no reply needed, Ticket topics and Peak times and ticket volume. This prevents a percentage of messages from being read as a percentage of tickets.

Option 3: requesting statistics via Claude or ChatGPT

You can connect aishaa to Claude, ChatGPT or another assistant that supports MCP connections. You sign in with your own aishaa account, and the assistant only sees what you are allowed to see. How to set up the connection is described in Connect aishaa to Claude or ChatGPT (MCP).

Once connected, you can ask for figures in plain language. The assistant uses the tickets_get_stats function for this. Per period (by default the last 30 days) it returns the number of tickets created and closed, the median first response time and customer satisfaction, grouped by topic, channel, status, day or week. It also returns how many open tickets have currently been assessed as no reply needed or removed from the workload. Examples of questions:

  • “How many tickets came in per week over the past four weeks, per channel?”
  • “Which topics came up most last month?”
  • “Put the ticket counts per day for September in a table.”

The assistant can put the result in a table, a summary or a text for a team meeting for you. Always check the figures against the report in aishaa before you share them; the assistant does its own calculations based on what aishaa returns.

Good to know

  • tickets_get_stats counts tickets, the Topics report counts customer messages. A ticket can belong to several topics, so the counts per topic can add up to more than the total. Deleted tickets do not count in tickets_get_stats, but they do in the Response times and Volume reports. So do not compare them one to one.
  • Of the response times, the connection only returns the median of the first response. The average, P90 and the breakdown per colleague are only in the Response times report.
  • Only share screenshots with customer data (names, email addresses, ticket subjects) with people who are allowed to see that data. The Slowest tickets (first response) table contains ticket subjects.
